WORK WE TAKE ON
Tier 1 customer support, live chat coverage, ticket triage, order enquiries, returns processing and review moderation in English, Japanese and other languages on request.
Invoice processing, expense matching, contract data capture, lead enrichment, CRM hygiene and OCR-driven document workflows, with monthly volumes scaling into the hundreds of thousands.
Product listing, image processing, content moderation, inventory updates, marketplace management and order fulfilment support across Shopify, Amazon, Rakuten and Mercari.
Calendar management, travel coordination, vendor management, contract renewals, HR onboarding admin and the routine internal work that piles up alongside everything else.
Accounts payable, accounts receivable, bank reconciliation, expense categorisation and month-end close support, integrated with Xero, QuickBooks, freee and other accounting platforms.
QA testing, content QA, data labelling for AI training, sandbox monitoring, log review and other technical tasks that need human eyes at volume.
THE DUAL APPROACH
Dedicated people trained on your processes, with quality checks, supervision and a Japan-based account lead. The same people stay on your account so process knowledge compounds rather than restarting.
Repetitive steps handled by software. UiPath, Power Automate, Zapier and custom scripts for work outside off-the-shelf tools. OCR layered in for documents, workflow engines for hand-offs between teams and systems.
Automation handles what can be coded. The team handles the judgement calls. Over time, more processes move into automation, so the same team absorbs more volume without growing.
QUALITY
Quality control sits inside every workflow, with checks at each handover point.
High-risk tasks run through two-person verification, with sample audits across the rest. Data accuracy runs at 98% across active engagements.
Built during the first month so the work is repeatable, transferable and improvable. New team members ramp up from documented processes.
Volumes, accuracy, turnaround times and SLA performance, shared with your team from day one so you always know how the work is running.
Built into the monthly review, with throughput and error rates tracked over time and process tweaks proposed by the supervisor.
SECURITY AND COMPLIANCE
PII handling follows Japanese data protection standards including the Personal Information Protection Act (APPI), with separate handling protocols for healthcare, finance and legal data when required.
Role-based access, audit logs across every system, mandatory two-factor authentication and time-limited credentials for sensitive systems.
Team members work from controlled offices in Sri Lanka with restricted USB and clipboard policies, paper-shredding protocols and clean-desk standards enforced.
NDAs signed before any process detail is discussed. Japanese-market contract terms used as standard, with industry-specific addenda available for regulated sectors.
Data handling follows Japanese APPI standards with separate protocols for healthcare, finance and legal data, covered by sector-specific addenda before any work begins.
HOW IT STARTS
We map your current workflows, volumes, SLAs and pain points. Output is a written proposal showing which work we'd take on, the team and tools we'd use and the monthly cost.
The team is trained on your processes, tools and quality standards. Access is granted in stages with security controls verified. A pilot batch runs at the end of week three.
Full handover into production. Monthly reviews, daily dashboards and a Japan-based account lead in place. Volume scales to agreed levels with capacity to flex up or down each month.
PRICING
We price two ways depending on the work, with the Sri Lanka delivery team and Japan-based account lead covered in both.
01
For team-based work where volume varies. Covers recruitment, training, salary, benefits, equipment, supervision and the Japan-based account lead.
02
For high-volume processing work where output is countable. Common for data entry, document processing, content moderation and listing management.
03
Quoted as a fixed-price project, with ongoing maintenance billed monthly. Many engagements blend automation with managed teams so cost drops as automation matures.
FAQS
A typical engagement starts producing work within three to four weeks of signing. The first week is process audit, weeks two and three cover team training and security setup, and a pilot batch runs by the end of week three. Smaller engagements can sometimes start faster with the right scope.
English and Japanese are standard. Mandarin Chinese, Korean, Sinhala and Tamil are available with notice. For customer support and content moderation, native-level proficiency is assessed during the hiring process for every team member added to your account before any production work begins.
Quality control runs inside every workflow with two-person verification on high-risk tasks, sample audits on the rest, live accuracy dashboards and monthly reviews with your team. Data accuracy across active engagements runs at 98%, with corrective process improvements proposed by the supervisor whenever metrics drop.
PII handling follows Japanese APPI standards, with role-based access, audit logs, two-factor authentication and secure facility protocols across every engagement. Healthcare, finance and legal data attract additional handling rules and are covered by sector-specific addenda to the contract before any work begins.
Yes. Engagements run on monthly rolling terms with a one-month notice for volume changes. Most clients adjust up or down by 20% within a single notice period, with larger swings handled by adding or removing FTEs across a three to four week window without contract renegotiation.
Most engagements start at one to two FTEs or an equivalent per-unit volume, with a three-month minimum on the initial agreement. After that, the engagement rolls month-by-month with a 30-day notice on either side, so commitment scales as the working relationship beds in.
